Development Associate

Scope and Objectives:

The Development Associate is responsible for the planning, executing and monitoring of the membership program and donor management software effectiveness for HistoryMiami Museum. The Development Associate will work on the membership team and help coordinate all membership initiatives and data. They will lead the management of all constituent data held by HistoryMiami. This includes financial and collection donors, members, event and program attendees, prospects and government officials. The Associate is the primary administrator of Altru and will consolidate contact lists and information generated by all other departments within this software. Will generate and manage all member and donor mailings (acknowledgments, renewals, acquisition), and will generate mailing lists as necessary for museum-wide communications, publications and events.

Database Duties and Responsibilities:

  • Maintaining the integrity of the Altru database including timely data entry, resolution of duplicate entries, and ensuring details are complete and accurate
  • Processing for Development transactions
  • Maintain data input and oversight of all Altru users
  • Create queries, imports and batches, including imports of contact lists generated by other museum departments
  • Generate and mail acknowledgement letters and notices for financial gifts and memberships, including pledge reminders
  • Coordination of departmental mailings
  • Produce reports to track fundraising results, membership acquisition and retention, pledge payments, event attendance and financial outcomes; dashboards
  • Produce reports and queries for all other departments in the Museum depending on need
  • Generate mailing lists (email and physical mail) for all museum-related events and communications
  • Prospect tracking and moves management, including maintenance of research profiles and bios, updates of biographical and relationship information for donors, and other pertinent prospect information
  • Generate reports and research as necessary for Development Director, Director of Finance and Museum Director
  • Maintain physical/electronic department files and records
  • Responsible for daily maintenance and reporting in Altru for all departments
  • Makes all adjusts and updates to Altru database
  • Liaison for all Altru troubleshooting for entire institution

Membership Job Responsibilities:

  • Actively recruits memberships at events, through mail and email campaigns
  • Receive member inquiries and resolve all questions related to membership
  • Manages the planning, budgeting and implementation of membership events, as well as participates and provides support to a variety of other signature fundraising and donor cultivation events throughout the year
  • Coordinates with Development and Marketing staff to provide services and collateral materials for internal and affinity group membership programs
  • Coordinates with Marketing to provide members and prospects with information on member programs through email and social media
  • Updates the Members Only and HistoryMiami Legal Society webpages
  • Keeps all online membership forms up to date
  • Participates in annual team budgeting, goal setting and planning
  • Meets with Development staff to review needs and develop logistical plans
  • Create a yearly calendar of member events and campaigns for membership retention and recruitment
  • Sets yearly Smart Goals to be reviewed with Development Director at regular intervals
  • Establish event timelines and monitor progress of program logistics
  • Composes solicitation letters, business letters and other correspondence
  • Identifies target groups, develops concepts and works with Designer to create mailings and digital campaigns and tracks responses
  • Creates events, web forms and membership related promotions in Altru
  • Provides Designer with text to create invitations and other documentation relevant to various membership events being planned
  • Manages the process of membership renewals based on the schedule of expiration dates in Altru
  • Solicits dropped members to rejoin on a quarterly basis
  • Performs data entry of new, renewing members and gift memberships Process gifts via Altru and then generate membership cards and other fulfillment materials for all membership levels
  • Provide membership statistical reports as required by Development Director
  • Research new membership options and trends
  • Send survey to ascertain relevance of museum, what are best programs and why members join

 

Desired Skills and Experience:

  • Bachelor’s degree
  • 3-5 years of Raiser’s Edge database experience – Altru experience preferred
  • Ability to handle multiple projects at a time and work on deadline
  • Strong interpersonal, communication, organizational and planning skills
  • Positive, flexible attitude with attention to detail
  • Strong follow-through capabilities
